Description

The purpose of the Receptionist position is to be responsible for providing secretarial, clerical and administrative support in order to ensure that Head Office services are provided in an effective and efficient manner.

Qualification Requirements

• Grade 12

Experience and Skills Requirements

• Minimum 2 to 3 years’ experience in a reception position
• Computer literate in MS Office
• Professional speaking etiquette
• Sound work ethics
• Excellent time management skills

Duties and Responsibilities

• Provide office support services in order to ensure efficiency and effectiveness within Head Office
• Receive, direct and relay telephone messages and fax messages
• Direct Members and the general public to the appropriate staff member
• Acceptance of deliveries/goods and distributing to relevant persons
• Assist in the planning and preparation of meetings, conferences and conference telephone calls
• Make preparations for EXCO meetings
• Maintain an adequate inventory of office supplies, including ordering and distributing of supplies
• Respond to public enquiries
• Perform clerical duties in order to maintain administration
• Answer all incoming calls and handle caller’s enquiries whenever possible
• Re-direct calls as appropriate and take adequate messages when required
• Greet, assist and/or direct visitors and the general public
• Provide administrative services for all Directors
• Distributing of mail from Head Office to the Minopex sites
• Coordinating of travel and accommodation bookings through travel agent
