SBV seeks an Organisation Development Administrator who will provide full administrative support to the management within the Organisational Development segment


Provide administrative support to the Organisational Development Department in the achievement of the set deliverables

  • Establishes and maintains the skills module on the HR Information System (HRIS) and the Learner Management System (LMS) (training priorities, budget, training presented and cancelled, course information, attendees, course dates, results, evaluations, service providers, accreditation, learnerships, Trainee & Study Loans, accelerated development Programmes etc.)
  • Compares certificate registers to the HRIS to ensure completeness and accuracy
  • Obtains training registers from suppliers when located at the Support Office, uploading onto the HRIS and arranging for distribution to the centres
  • Where required, arrange the necessary venues and activities for learning interventions
  • Compile and upload electronic courses on the SBV digital platform
  • Support the Organisational Development Manager to conduct an extensive skills audit and create skills segmentation mapping this in conjunction with the Talent segmentation for a holistic view
  • Provide support to deliver a robust training needs analysis framework and report in partnership with all the various stakeholders within SBV
  • Suggest training initiatives to enhance or create the various types of OD programmes like:

oFunctional Training
oFoundational Training
oLeadership Development
oTalent Development

  • Post accreditation, facilitate development programmes in accordance with required training standards
  • Monitor and manage the Training requests inbox, ensuring the 2-day turnaround time is met
  • Support Organisational Development Manager to develop detailed training proposals and plans to accelerate the adoption of SBV training services
  • Research external trends alongside internal best practices to create and drive new innovative (digital learning) and bespoke training content to engage and meet the needs of people at the various levels of work
  • Validate and maintain the asset master for Organisational Development, tracking all assets that are within the regions on a quarterly basis

Provide BBBEE Administrative support

  • Create a shared folder with the Academy and ensure the registers and all training related information is filed accordingly
  • Capture all skills related information on a monthly basis onto BEE123 system
  • Provide management with a monthly report on the scenario status on the BEE123 system
  • Upload all relevant People data onto BEE123 to ensure accuracy, completeness and ability to calculate points
  • Compile and distribute portfolios of evidence required by the auditors

Adhere to compliance and risk 

  • Establish and maintain the Skills Module on SAGE, providing guidance and support to the HR and SBV teams.
  • Provide administrative support in the development and implementation of the Organisational Development Strategies, Plans and Policies managing implementation against agreed time frames, budget and report against agreed measures
  • Support the scheduling and minuting of regulatory committees within SBV related to Organisational Development Committees / forums

Support management with reporting and validation of legislative reporting

  • Compile management reports and presentations for the department and SBV management
  • Compile the Committee packs in accordance to the set-out agenda and deliverables
  • Validate the weekly reports from the Supplier/s, generating dashboards for the key Business Units and addressing variations with the supplier/s
  • Provide assistance to the Organisational Development Manager in the validation of the information contained in the WSP and ATR plan completed by the Academy
  • Track the rate of completion on Regulatory 21 training and SARB Training, providing monthly stats to management
  • Provide the Academy with a list of new and separated employees to ensure the trackers are updated accordingly.

Finance Administration Support

  • Load all approved quotes and invoices on Fraxion
  • Work with Finance and suppliers to reconcile all quotes and invoices on a weekly basis, providing management with visibility
  • Create a report outlining all incoming quotes and invoices, tracking payments, mandatory grants etc. and turnaround time.
  • Where applicable, support SBV employees by loading Fraxion requests related to approved training
  • Establish and maintain a recon procedure document for approval by Senior Management

Maintain a strong relationship with internal and external stakeholders to ensure flawless execution of training plans and communications

  • Create and maintain relationships with internal stakeholders (employees, line managers, executives) and external training partners
  • Engage with all key stakeholders on a continuous basis to ensure the deliverables of the department are executed in alignment with the department and SBV goals.


  • 2 years as an administrator that includes 1 years’ experience compiling reports in the training or HR environment
  • Prior experience in HR Information systems (preferably SAGE) or LMS will be advantages
  • HR Degree / 3-year diploma
  • MS Office intermediate level
